The ILLC Prepublication Procedure

The electronic archive of the ILLC Prepublication Series has been incorporated into the UvA-DARE Server . Authors can submit a paper by way of this server. The help-pages of the UvA-DARE Server provide detailed instructions on how to contribute a document. This page will give a brief overview.

  1. First, you need to obtain an UvAnetID and password. Students and staff members of the FNWI should have received an UvAnetID automatically. If you did not receive an UvAnetID, you should contact the personnel department of the faculty. More information is available at the UvA Informatiseringscentrum

  2. Next, register yourself as a contributor for the ILLC Publication Series.

    1. Go to the Contributor Login page of the UvA-DARE server, and log in using your UvAnetID and password.
    2. In the 'Register as contributor for an (additional) archive' selection menu, select 'ILLC publications', and click on the 'Register' button to apply as a contributor for the ILLC Publication Series.

    Your application has now been sent to the Editor of the ILLC Publication Series for approval. Once you have been accepted, it is at any time possible to submit documents or change documents you submitted previously.

  3. To submit a new document,

    1. Go to the Contributor Login page of the UvA-DARE server, and log in using your UvAnetID and password.
    2. Click on 'ILLC Publications - Contributor', then on 'Add records', then on 'Preprint'. A form for the bibliographical data of the new document appears.
    3. Fill out the form. For each field, an explanation is available by clicking on the field names. Fields marked red are mandatory.
    4. For the author fields, only the Last-name field of the authors is mandatory. Unfortunately, the labels have gotten a bit messed up. 'Middle name' refers to infixes such as 'van de'. In the 'First name' field, you should enter the initials of the author. The 'Id' field is meant to enter the UvA Employee Id of authors working at the UvA and can be left blank.
      For consistency with METIS records, please enter the names of the authors with all initials, and include the author's title. I.e. enter 'Benthem, van, J.F.A.K., prof. dr.' instead of 'Benthem, van, J.'.
    5. Next indicate in the 'Contrib State - Note' field to which series you want to submit your document. Full reports should go in the PP series, technical notes and other papers that are not quite full reports should go in the X series.
    6. Click on the Save button.
  4. At this point, the document has been submitted, even though no files have been sent yet. You need only upload files to the UvA-DARE Server if you want to make them available to the general public. To upload a file

    1. If you made any changes in the bibliographical data since the last time you clicked on the Save button, click on the Save button again. If you don't, your changes will be lost as soon as you go to the Upload Screen.
    2. Click on the File Management link in the left navigation panel. A warning may appear, noting that if you made any changes in the bibliographical data, they are about to be discarded. Press the OK button. The Upload Screen appears.
    3. Click on the Browse button to select a file to be uploaded. Alternatively, provide the location of the file as an URL.
    4. You may also fill in a description of the file to be uploaded, such as `full text' or `table of contents'. If you wish the server to use a different name for the file than it has now, specify the name in the 'Remote filename' input field.
    5. Click on the Upload button to complete uploading the file.

    You can now repeat the upload process if you want to upload another file. A document can have zero, one or more files associated with it.

  5. To make changes in a document you previously submitted, select 'My Records' from the left navigation panel and select the document from the list that appears. Then click 'Edit Record' in the left navigation panel. If you want to change a file, simply go to 'File Management', delete the old file and upload the new file. You do not need to resubmit the entire report to make changes.

    Note: the 'New version' button will create a new document based on the old one, but leave the old version intact. It is intended for 'follow-up' papers. Do not use this if you intend to make changes in an existing entry.

  6. The ILLC encourages authors to make the full text of their documents electronically available by uploading a file as described above. Although several other formats are allowed, we much prefer PDF files.

  7. Important Note: ILLC reports should contain an abstract. In addition to submitting your abstract with the bibliographical data, please incorporate it in your document.

  8. If you choose not to make the full text of your document electronically available, please submit the bibliographical data of your document as described before, and send a printed copy of the document (printed single-sided by preference) to the ILLC Buro at

    Instead of sending a printed copy, you can also send the file by private email to Marco Vervoort. Again, PDF or Postscript files are strongly preferred. Please note that if you submit a Word document, the page layout and numbering may change during the printing process.

  9. The electronic paper and any other files will be available to the public as soon as the paper is approved by the editor. The bound hardcopy edition will be generated semi-automatically (i.e. we will take care of it). If you desire to receive bound hardcopy copies of your paper yourself, you should make a request for such to the ILLC Buro at this point.

  10. With the UvA-DARE Server, if a revision is needed, you can delete the old file and upload the new file yourself. If the hardcopy edition has not yet been printed, and you wish the revisions to be incorporated, you should send a message to Marco Vervoort to alert him to the changes.
